The operational dashboard helps you track and report on workflow performance and identify any areas for improvement. This is available for ProSpend admins under Reports menu.

The dashboard will have up to 9 tiles depending on the modules that have been enabled. There are 3 charts for expense claims which includes both cash claims and credit card claims, 3 charts for invoices and 3 charts for purchase orders.
You can see a visual of the Dashboard below and an explanation of the data sets.

Expense Claims
Expense claim status - Real-time snapshot of expense claims by Status for all the statuses except Finalised. For Finalised, the system shows only claims created in the previous 30 days. There is a further breakdown for Credit Card and Reimbursement claims.
Claims Past Due - Real-time snapshot of how many claims are at the Not Submitted and Pending Approval status along with their age.
Performance - Average Submit time for an expense claim from Creation (Credit Card imported claims only) and the average Approval time (Reimbursement and Credit card claims).
Receipt Status - Number of expenses that were processed with a receipt exception applied or did not have a receipt.
Invoices
Invoice Process Status - Real-time snapshot of Invoice Payment requests by Status for all the statuses except Finalised. For Finalised, the system shows only claims created in the previous 30 days.
Invoices Due - Real-time snapshot of how many invoices are overdue and due in the next few days. This tile also shows the number of invoices exported in the last 30 days and how many of them were exported on or before their due date.
Performance - The average processing time for a supplier payment from creation till export excluding the scanning time, and average approval time.
Supplier Usage - This pie chart shows the numbers below for the last 30 days -
- The number of new suppliers created (New).
- The number of previously setup suppliers that have been used (Active).
- The number of previously setup suppliers that haven't been used (Inactive).
Purchase Orders
Purchase Order Status - Real-time snapshot of Purchase Orders by Status for all the statuses except Finalised. For Finalised, the system shows only claims created in the previous 30 days.
Open Purchase Orders - Real-time snapshot of how many open POs are there in the system with the time period they have been open for along with a breakdown of POs that have invoices linked vs POs that don't have invoices linked.
Performance - The number of POs that had quotes in the last 30 days, and the average approval time.
PO Matching Values - The number of POs created in the last 30 days which have been linked to invoices, along with the percentage of their value being utilised.
The dashboard also includes a usage bar on the top which shows the current month's active users count, number of invoices sent to the vaults and number of purchase orders created.

By default, the dashboard shows the data for all the categories setup but it can be filtered for each category.

There is a date filter for you to be able to see the historical performance and compare it with your current performance. Changing the date filter will modify the charts to display the performance as of that day. Some charts like the performance charts will display the performance for the previous 30 days.

The system auto-updates the dashboard every 30 minutes but you can use the Refresh button on the top right corner to get the latest data.
Click Through Report from the Charts
You can click on the bars or pies or numbers in the charts in operational dashboard to view the list of claims making up that number.
For example - you can click on one of the bars in "Claims Past Due" chart and you can see the list of claims that are x days past due.

You can then go into the claims by clicking on the claim ID links.

To go back to the full dashboard, you can click on "Back to dashboard".
