Business Central Supplier Sync
Our clients using Business Central now have an option to sync supplier data from Business Central to ProSpend.
ERP Sync
To sync the suppliers, the admins have to go into ERP Sync section, connect to Business Central (if it hasn't been connected already), tick Suppliers and then click on Update.
Active Suppliers
ProSpend will create all the suppliers that are active in Business Central i.e in the supplier card in Business Central, Blocked field is empty or setup with Payment.
If Blocked field is setup with All, that supplier won't be created in ProSpend.
Supplier Fields
ProSpend will import below data for suppliers when syncing them from Business Central -

Bank Details
ProSpend will also sync bank details for the suppliers from Business Central. These bank details are imported from the Vendor Bank Account Card section in Business Central.

ProSpend will automatically set the Bank Account Details field depending on the bank account details we receive from Business Central.
- If the system receives both BSB and Account No, the Bank Account Details field is set to BSB and Account Number.
- If the system received only Account No, the Bank Account Details field is set to Account Number Only.
- If the system doesn't receive BSB and Account No, the Bank Account Details field is set to None.
Automatic Supplier Update
After the first sync, ProSpend also enables automatic sync in the background. Whenever any changes are made to the supplier records in Business Central, ProSpend will automatically sync those changes in a few minutes. These changes include -
- Making changes to any of the above fields for existing suppliers.
- Adding new suppliers.
- Disabling existing suppliers.
The admins can still use the ERP Sync function to update all the suppliers, if needed.

Auto Export Claims
ProSpend now has an option to auto export claims either -
- On approval, or
- On finalisation
On Approval
On approval of a claim, the system will auto finalise the claim, will automatically create an export batch for that claim and will send it to a finance/ERP system.
On Finalisation
On finalisation of a claim, the system will automatically create an export batch for that claim and will send it to a finance/ERP system.
Unfinalisation
In both on approval and on finalisation options, if the admin or the payer unfinalises and re-finalises a claim, the system will automatically create an export batch for that claim and will send it to a finance/ERP system.
External Systems
ProSpend can create an export batch for any finance/ERP system integration but the claims can automatically be sent only to below finance/ERP systems -
- MYOB Advanced
- Sage Intacct
- NetSuite
- Pronto
Export Notifications
Specific email addresses can be configured in the background to receive both export successful and export failed email notifications.

Ability to Restore Deleted Tax Codes
Admins can now access deleted tax codes in tax codes section.
Once deleted tax codes are made visible, admins can click into a deleted tax code and then click on Restore Tax Code button to restore the tax code.
