Mobile App Changes

The new version of the mobile app includes a major upgrade of the styling. The workflow has not changed but you have more functionality, such as:-
  • Credit card claims available to edit and submit
  • Split and FBT related expenses are much easier to do
  • Purchase Orders can be created on the mobile

This release will allow our claimants and approvers to do all of the functionality as on the desktop.

Duplicate Document Check

The system will now check for duplicate documents based on the name of the document which means the system rejects the documents (when they are uploaded or emailed) only if it has the same name. If you want to upload the same document more than once, you can change the document name. 


Self Approval for Supplier Invoices and Purchase Orders

If the first approver of a claim is the claimant itself, when the claimant submits that claim, the system will auto-approve it and it will move on to the next approver or to the payer (if there is only one approver).

If the approval limits are enabled, the system will apply those limits. If the claim exceeds the claimant’s approval limit, the system will stop them from submitting the claim unless there are more approvers after the first step.

If self approval is disabled, the system will stop the claimants from submitting the claim.

Self approval can only be enabled for supplier invoices and/or purchase orders.

 

Claim Summary Updates for Mileage Claims

The starting and the ending point of the trip, total number of kilometres and the document are now shown on the claim summary for motor vehicle claims.


Delivery Date on the Purchase Order Copy

The system now displays the delivery date entered by the user, on the Purchase Order copy.


Title Field in the User Profile

The title field in the user profile which had options such as Mr., Mrs. etc has now been removed.


Removing Claims from an Export Batch while the Export is in Progress

The system will not let the users remove claims from an export batch while the export is in progress (for API exports only).


Notes on the Purchase Order Copies for different Companies

The system can now display different notes on the Purchase Order copies depending on which category/company the PO has been raised for.

 


Activity Code or Activity Name on the Purchase Order Copy

The system can display the activity code or the activity name on the Purchase Order copy.


Amount Fields are Locked once the Claim are Approved

Once the claims have been approved, the system will now lock the below fields.

  • Gross Amount
  • Currency Code
  • Quantity (if enabled)
  • Price (if enabled)
  • Tax Inclusive or Tax Exclusive drop-down for Purchase Orders and Supplier Invoices

A claim can still be rejected by a payer, so the claimant can amend the amounts or make any other changes and it will follow the approval workflow setup.

 

Bulk Reassignment of an Approver

When you want to disable an approver profile or remove the approver access for an user, you can now reassign all the below items to a new approver in one go.

  • Approvers setup in the categories
  • Approvers setup in the cost centres
  • Claimant default approvers
  • Approvers setup in the activity codes
  • Approvers setup in the suppliers
  • Approvers setup in the workflows
  • Approver for any pending approval claims

When you remove the approver access for an user or disable an approver profile, the system will prompt you to choose the new approver in the field below. Once you choose the new approver and save the changes, the system will reassign all the above items to the new approver. You can then disable the original approver's profile.

For claims that have been reassigned to a new approver, the system will send an email to them.
